How to choose an event photographer in Melbourne: questions to ask before you book

The right event photographer in Melbourne is the one who has shot events like yours, tells you in writing exactly what you'll get, and has a plan for when something goes wrong. Ask the ten questions below before you pay a deposit and you'll avoid most of the surprises.

I'm Lewis, a Melbourne event photographer with over a decade behind the camera across corporate functions, birthdays, gigs and festivals. This is the checklist I'd use if I were booking someone for my own event.

Before you start: pin down four things

Every quote you receive will depend on the same four details, so settle them first and you can compare quotes like for like.

  • Date and times: when the event starts, finishes and when the key moments happen.

  • Venue: where it is, and any access or photography rules.

  • Event type and size: a 30-person engagement party and a 200-person conference need different coverage.

  • What the photos are for: a family album, social media, a recap email or sponsor reports.

10 questions to ask before you book

1. Have you photographed events like mine?

A brilliant portrait or wedding photographer isn't automatically right for a networking night or a packed gig. Ask to see a full gallery from a similar event, not just a highlights reel. You want to see speeches, candid moments and wide room shots, not only posed portraits.

2. What exactly is included?

Get hours of coverage, edited images, online gallery, downloads and consultation in writing. My packages start from $500 for two hours and run to $1,500 for eight hours, and each one includes editing, a private online gallery and hi-res downloads.

3. How many photos will I get, and when?

Ask for a minimum number of edited images and a delivery date. For my events, turnaround runs from 48 hours on shorter shoots to 5-7 days for full-day coverage. If you need photos for social media the next morning, say so up front. Rush delivery is available as an add-on for $150.

4. What will it cost, and what's extra?

A fair quote lists the base price and any add-ons: overtime, rush delivery, travel or a second shooter. Extra hours with me are $100 each, and I confirm the exact price after a first consultation so there are no surprises on the day.

5. What can I do with the images?

Personal use is usually simple. If the photos will go into marketing, advertising or sponsor material, ask for the usage terms to be written into the quote before you book.

6. What happens if something goes wrong?

Cameras fail and people get sick. Ask about backup equipment and what the photographer does if they can't make it. I bring backup camera bodies and lighting to every job, and if a genuine emergency stops me covering your event, I'll contact you as early as possible and refund you in full.

7. Do you offer a pre-event consultation?

A good photographer wants your run sheet, key moments and must-have shots before the day. Every booking with me starts with a quick consultation so we plan the schedule together. Not a list person? Reading the room works too, but a few must-have shots make sure nothing gets missed.

8. How do you work in the room?

Some photographers direct everything; others stay almost invisible. Ask which style they use and whether it suits your guests. I keep things relaxed, chat to people and stay out of the way so everyone forgets the camera is there.

9. What are your deposit and cancellation terms?

Ask how to lock in the date, when the balance is due and what happens if plans change. I take a 50% deposit to confirm the booking and send the balance invoice on delivery. If you need to reschedule, tell me as early as possible. Cancellations close to the event may forfeit the deposit, and everything is confirmed in writing.

10. Can I see reviews, or speak to a past client?

Read reviews, and for bigger corporate jobs ask for a referee. Agencies and venues often want supplier paperwork too. [Add your answer on public liability insurance or a certificate of currency here, only if it's true, or delete this line.]

Red flags

  • No written quote or list of inclusions

  • No full gallery from a similar event

  • Vague answers on delivery date or number of edited images

  • No backup equipment or contingency plan

  • Pressure to book without a conversation

How much does an event photographer cost in Melbourne?

Prices vary with hours of coverage, number of edited images, turnaround and how you'll use the photos. For reference, my packages start from $500 (2 hours), $800 (4 hours), $1,100 (6 hours) and $1,500 (8 hours), with exact pricing confirmed after a first consultation. When you compare quotes, line them up on hours, edited image count, delivery date and usage rights, not just the headline price.
