How Many Hours of Event Photography Do I Need?
Not sure how long to book an event photographer? Here’s a simple guide to the right number of hours for parties, launches, conferences and gigs.
Booking too few hours means missing key moments. Booking too many means paying for time you didn’t need. Here’s how to pick the right length for your event.
A quick guide by event type
Birthday or private party: 2 hours. Enough for arrivals, candid moments, speeches and a cake cutting.
Product launch or business opening: 2 to 3 hours. Covers guests arriving, the main moment, and plenty of mingling shots.
Networking event: 2 hours. Focus on the busiest part of the night, when the room is full.
Conference or workshop: 4 hours to a full day. You’ll want speakers, audience shots, sponsors and breakout sessions.
Gig or live music night: 1 to 3 hours. Usually the opening act through to the headliner’s best moments.
Think about the moments that matter
Before choosing a length, list the moments you really need photographed. Common ones:
Guests arriving
Speeches and presentations
Awards or announcements
Group shots
Details like decor, food and branding
Then ask your photographer to be there for the busiest and most important parts rather than the entire event.
Build a simple shot list
A short list makes any booking more valuable. Include:
Must-have photos, such as speakers, sponsors or VIPs
People to prioritise, with names
Branding and details to capture
Any areas of the venue to avoid
Tips for shorter bookings
Schedule key moments within the booked window.
Tell your photographer the run sheet so they’re in the right place at the right time.
Group photos early, before guests drift away.
